Gmail Integration Guide

System: All

Interface: POP3 / SMTP

This guide will walk you through the setting up your email account hosted on the Technical 911 Solutions network with Google. Please note that the illustrations you see may look a little different than you may normally see as this guide was created running Ubuntu 14.04. When you are done, any emails sent to your email address with us will automatically be imported into your existing Gmail interface. You will also be able to send emails using your email address hosted on the Technical 911 Solutions network with only a matter of two mouse clicks when this process is complete.

Please note that you will need the following information in order to complete this process:
  • Your account username and password
  • The email address that you will be setting up

  • STEP 1

Login to your Gmail using your Gmail email address and password. This login is completely separate from the login and password that you will enter for our system.

    STEP 2:

In the top right corner of the page, you will see a drop-down button with a little gear icon that should look like something like the image below. Click it to open the configuration menu.

    STEP 3:

In the menu that drops down, click on "Settings" to open your Gmail account settings.

    STEP 4:

Across the top of the page, you will see a bunch of tabs that will look like the image below. Click on the "Accounts and Import" tab.

    STEP 5:

In your account settings page, you will see different categories to choose from. Under "Check mail from other accounts (using POP3)", click on "Add a POP3 mail account you own" and a pop up box will appear to walk you through the configuration process.

    STEP 6:

In the box that appears (like the image below), enter your email address on the Technical 911 Solutions network that you wish to add, then click "Next Step".

    STEP 7:

Enter your username and your password, then change the POP Server to pop.tech911solutions.com, then click "Add account".

    STEP 8:

Click the "Yes" button if it is not already checked, then click the "Next Step" button.

    STEP 9:

Type your name as you want it to appear when you send email into the text box, then click "Next Step"

    STEP 10:

Enter your username and password for the Technical 911 Solutions mail system, then change the SMTP server to "smtp.tech911solutions.com". When this is done, click the "Add Account" button.

    STEP 11:

Check your email from the Technical 911 Solutions Webmail Access to get your verification code. Enter this into the box you will see on this page, then click "Verify"

    STEP 12:

When you are brought back to the account and import settings screen, look under "Send mail as" and click the radio button for "Reply from the same address the message was sent to"

NOTE: Email sent to your email address on the Technical 911 Solutions network will automatically be imported into Gmail for you. When you reply to an email, it will use the same name and email address as the message was sent to. Also, when you compose a new email now, you will see a box that says "From:", which will allow you to change the email address that will appear when you send the email. Please note that this only works on new emails and will not appear for replies.
